Photo Collective By-Laws
Standing Rules for the Photo Collective (Revision 2009)
Description and Goals:
The Photo Collective is a group of photographers of various levels of expertise and training. The group is self-funding and open to all who are interested in enhancing their photographic skills and knowledge.
The purpose of the group is to promote photography as an art form. In pursuit of this goal, the members work together to organize photographic exhibits within the community.
I. Organization
A. Executive Board
1. President (Two (2) year term)
a. Presides at meetings
b. Acts as official spokesperson and public relations
c. Sends out meeting notices
2. Vice President
a. Presides at meetings in absence of President
b. Plans programs for meetings
3. Secretary
a. Records minutes of meetings
b. Tends of all correspondence
4. Treasurer
a. Collects Dues
b. Pays Bills
c. Keeps account of funds
B. Appointed Positions
1. Historian
a. Keeps records in an album of events and correspondence
2. Gallery Scout(s)
a. Informs members of opportunities of photography shows in various localities
II. Club Rules
A. Dues and Fees
1. Dues
a. Dues shall be $30 per year, payable July 1st of each year
2. Fees
a. Shows may require a hanging fee to be determined by the Executive Committee and approved by the membership.
B. Election of officers
1. Nominating Committee
a. Composed of three (3) members selected by the President to prepare a slate of officers
b. The committee is to present a slate of candidates at the May meeting for June election.
2. Newly elected officers begin their terms at the end of the June meeting.
C. Meetings
1. Meeting date and location
a. Meetings to be held of the first Thursday of each month
b. Meetings to be hosted by members in their homes or other suitable place of their choice
c. The member responsible for the meeting place is to find an alternate host if forced to cancel
and to notify the President immediately of the change.
2. Club decisions.
a. Decisions will be made by a member stating a motion, the motion being seconded,
and the motion being voted upon favorably by a simple majority of members present.
3. Miscellaneous
a. Simple refreshments may be served after the business meeting if desired.
b. Changes or additions to the club rules may be made by the appointment of the By-Laws committee
to make the changes and the changes voted upon by the majority of the membership.
III. Photographic Exhibits
A. Appointed Chairperson and Committees for each exhibit
1. Show chairperson
a. Appointed by President to oversee all exhibit committees
2. Invitation Committee
a. Consists of one or more members
b. Coordinates writing, printing, and mailing of invitations
c. Updates mailing list
3. Advertising Committee
a. Consists of one or more persons
b. Publicizes events through the media. (Newspaper, Web etc.)
4. Hanging Committee.
a. Appointed by show chairperson
b. Consists of three or more members, two of whom shall be experienced with hanging shows.
c. Hanging Committee has the responsibility of placement of all art work.
d. Informs members of times for responsible for the final decision about the proper print presentation.
5. Reception Committee
a. Consists of two or more members
b. Coordinates times with members to monitor the show (if necessary)
c. Welcomes guests
6. Refreshment Committee.
a. Consists of two or more members
b. Arranges for refreshments at reception
c. Sets up refreshment table and serves guests
7. Ticket Committee (when applicable)
a. Consists of one or more members
b. Obtains exhibit data and arranges for printing, distribution, and control of tickets
c. Collects all ticket monies and turns over money and accounting to club treasurer
IV. Exhibit Rules
A. General Rules
1. Prints must be photographed and optimized by the member.
2. Photographs must be properly presented.
3. Dues must be current at the time of the exhibit in order to participate.
4. All exhibiting members must participate in the work involved in presenting the show and observe deadlines set by the chairman.
5. Once a print has been shown in a Photo Collective Exhibit it may not be shown again in a Collective exhibit
unless otherwise decided by the club.
6. Each print must be labeled on the back with the artist’s name, title, media and price. Glass SHOULD BE CLEANED and protected.
7. Any prints not delivered by the deadline will not be included in the show.
8. No member shall move or remove any print hung in the show until the exhibit is closed to the public
without permission from the Chairperson of the show.

C. Proper Presentation
1. The pictures shall be matted and covered with clean glass or plexi glass.
An over mat is recommended to prevent contact of the glass with print.
2. Prints shall be spotted as necessary.
3. Prints shall be flat. They should be firmly fixed to the back mat board so the print will not become detached during handling.
4. The over mats shall be clean with no smudges or wrinkles and shall be cut evenly without tears or jagged cuts.
5. All prints shall be presented in uniform way with thin metal frames.
Members have a choice of metallic tone frames – including black or white.
The frames should be flat and rigid, fitted with wire 1/3 of the distance from the top of the frame.
The wire should be rather tight and the ends covered with tape to prevent puncturing the hangers’ hands.
(Adjustable hangers are preferred.)
